Viaduct is hiring for a Director of Operations who will be responsible for strategic planning, finance and grants administration, product development, general administrative functions, human resources, information technology and CRM, vendor management, compliance, oversight of staff involved in functions of entrepreneur in residence (EIR) mentoring, financing programs, and related programs, including coordination with related outsourced services where utilized.  Secondary or support responsibilities include fundraising and marketing.
 
MAJOR FUNCTIONS:
  • Coordinate with President and CEO on strategic organizational planning for growth phase of early stage nonprofit organization.
  • Conduct in house job functions or oversee the job functions of outsourced accounting partners in the areas that include but are not limited to: annual operating budget preparation and management, updated cash flow and financials, accounts payable, accounts receivable, preparation of IRS forms, financial statements, bank reconciliations, annual independent audit by outside CPA, annual federal and state nonprofit returns, and other filings; provide board level reporting.
  • Oversee program manager for entrepreneur-in-residence/mentoring program (EIR) processes, including client and EIR onboarding and relationships, ongoing EIR communications and training, and reporting.
  • Manage staff delivering other entrepreneurship programs, including but not limited to: National Mentor Network program, outsourcing of mentors to partner organizations; supervise project management and other administrative functions, including reporting related to programs.
  • Coordinate with Fund Manager to manage investment programs and supervise related staff, including client intake, due diligence, Investment Committee communication and review, and investment transaction. On an as needed basis, interface with EIRs and clients throughout the process, and/or subcontractors involved in administering fund activities.
  • Participate in development of new entrepreneurial services and funding sources and vehicles related to the investment programs in alignment with organizational strategic goals.
  • Manage human resources matters, including but not limited to recruitment, separation, performance evaluation, employee relations, employee retention, documentation, benefits, policies, and procedures; Manage communications with vendors involved in payroll and benefits administration.
  • Lead continuing development of customer relationship management (CRM) system, including input, output, and user management functions.
  • Manage pre- and post-award functions for grants, contracts, donations, and sponsorships involving: Use of a variety of public and private online e-research administrations systems, developing and maintaining award budgets, accounts receivable processes and other documentation and reporting; manage staff involved in grants administration.
  • Manage the selection, implementation, and maintenance of the organization’s information technology assets and communications infrastructure (network, computers, software, internet, e-mail, cell phones, file sharing, data backup and security, etc.); supervise related staff.
  • Manage organizational functions related to insurance and facilities; manage staff involved in daily office management functions involving office supply inventory, mail processing, equipment, and facilities for all employees. Maintain corporate insurance to ensure coverage is sufficient to meet the organization’s potential risks and losses and meets the minimum requirements of any contracts, grants, or agreements requiring indemnification; maintain all required certificates and documents as necessary.
  • Build and maintain entrepreneurial ecosystem partnerships, including sponsorships and event participation across the region, in conjunction with other personnel; update referral network on a regular basis for optimal client service.
  • Support company marketing communications, including but not limited to content development and review and event participation involving company representation.
  • Interface with legal counsel as needed to address duties.
  • Manage banking relationships and other relevant vendor relationships.
  • Provide reporting on all functions to President and CEO and Board of Directors.
  • Manage personnel as assigned by President and CEO.
  • Perform other duties as assigned by President and CEO.
 
Job Requirements

 
Required Skills / Qualifications:
  • B.A./B.S. in Business or equivalent combination of education and work experience
  • Seven or more years’ experience in operations management including a substantial number of the functional areas noted above in relevant settings.
  • Five years proficiency with accounting software, especially QuickBooks
  • Five years experience managing internal staff and functions outsourced to vendors and contractors.

Preferred Skills / Qualifications:
  • MBA, CPA, and/or other relevant advanced degree 
  • Experience operating in a grant-supported environment and managing related processes.
  • Experience in managing entrepreneurship and/or business support programs or related experience in startup environment.
  • Experience implementing and using CRM.
  • Experience in product launch and development.
  • Experience in strategic organizational planning in relevant setting;
  • Strong project management skills and attention to detail
  • Knowledge, understanding, and passion regarding the challenges and priorities of a start-up organization, entrepreneurship and non-profit environment.
  • Ability to develop and manage financials and project budgets with strong Excel capabilities.
  • Ability to work in teams externally and internally on evolving initiatives.
  • Comfort in creating and revising organizational structure, processes, and policies.
