Aleron has an exciting direct-hire, full-time opening for an Executive Administrative Assistant available at our global headquarters in downtown Buffalo,NY!
Responsible for supporting Executive Management of the Company with core administrative duties including screening phone calls, scheduling, and updating calendar, and travel arrangements.

Essential Duties and Responsibilities:
  • Answering/screening calls and maintaining calendar/scheduling for executive management
  • Maintain and process expense reports for executive management 
  • Maintain calendars for executive management 
  • Travel arrangements for various Aleron personnel 
  • Typing of correspondence and contracts 
  • Mail distribution for the executive staff 
  • Maintain and schedule training and external meeting calendars for organization 
  • Database creation and maintenance 
  • Compiling information for reporting requirements and report generation 
  • Assist in planning of corporate events and industry trade shows
  • Record keeping 
  • Maintains confidentiality and protects operations by keeping employee and Company information confidential
  • Works closely with the Sr. Executive Assistant to complete additional tasks as needed

Other Duties:
  • Executive Administrative Assistant may also be responsible to train and mentor other staff
  • Comply and adhere to all ISO policies and procedures
  • Submit periodic reports to management as requested
  • Responsible for various other administrative duties as directed by Company 
Job Requirements

Required Skills / Qualifications:
  • Bachelor’s degree or equivalent experience
  • 1 year of experience as an Executive Assistant or administrative assistant
  • 2 years of MS Word, Excel, and Access
  • 1 year of travel and meeting planning experience

Preferred Skills / Qualifications:
  • Ability to multi-task, attention to detail, excellent communication, and organizational skills, and must present a positive and professional image
  • Should be able to work under deadlines and have some flexibility in their work schedule to meet unforeseen demands

Minimal domestic business travel will be expected to represent the Company, as business needs dictate.
