Description

Acara Solutions is looking for a MDACC-Administrative Assistant I for our Client located in Houston, TX.

  • Performs complex administrative tasks and secretarial duties requiring independent judgment within general guidelines in the Food and Nutrition Services Department.
  • Directly supports department administration and staff in daily operations. Spends the majority of time supporting administrative functions.
  • Impacts department efficiency and productivity.
  • Customer Service Greet visitors. Screen and route phone calls, arrange meetings, gather supplies, mail, small equipment for pick-up.
  • Arrange for services as needed from office equipment, training, and department on boarding.
  • Assist customers with catering administrative support, as needed. Provide support as need for meetings (Zoom and Microsoft Teams).
  • Clerical Possess good interpersonal skills when interacting with customers and co-workers. Promote teamwork between all department personnel.
  • Compiles and arranges complex data. Composes and processes repetitive and non-repetitive documents in accordance with established procedures.
  • Prepares and audits varied reports.
  • Use complex software system to update and retrieve information. Maintains office inventories. Organizes office procedures to ensure effective operation.
  • Sorts, files, updates and maintains records as needed. Answers phone, conveys messages, runs errands and makes copies.
  • Retrieves and distributes mail to the appropriate individual(s). Schedules meetings, conferences, and arranges for meeting space, equipment, and catering as needed.
  • Provides support to food service operations managers, including preparing labels and signage as needed.
  • Human Resources Serves as backup to Administrative Coordinator in preparing weekly payroll on Kronos system and notifies the appropriate manager when employees are out of compliance.
  • Creates and maintains personnel files for all department staff members.
  • Interprets and implements administrative policies and procedures; ensures department policy and procedure manual is updated annually.
  • Tracks employee deliverables and provides reports to leadership team.
  • Purchasing and Inventory Tracks purchases and pick-ups for reconciliation and budgeting.
  • Maintains inventory as needed
  • Other duties as assigned Includes, but not limited to, participation and assistance with performance improvement projects.

Pay and Benefits:                                                                                                   

  • The salary for this position is $ 19.28 per hour (Max Pay rate).
 
Job Requirements

 
Required Skills / Qualifications:
  • High school diploma or GED.
  • Minimum of 4 years' experience in secretarial including advanced secretarial duties.

Preferred Skills / Qualifications:
  • Bachelor's Degree
  • Specialized training in secretarial skills (such as word processing and business).
  • Knowledge or Microsoft Office Suite, intermediate skills in Microsoft Outlook, Zoom, and Visio
  • The incumbent should be a confident self-starter who needs little or no supervision in completing tasks.
