Aleron has an exciting opportunity for an Invoicing rep at our corporate office in Williamsville, NY. This is a full time direct hire opportunity to work with an attentive and motivated team!

Job Summary:
Responsible for ensuring that invoices are sent in an accurate and timely manner.

Essential Duties and Responsibilities:
  • Audit's time sheets to verify reported totals and confirms the correct amounts are on the invoices
  • Collects time cards via email, courier service vendor, or OnBase system
  • Attaches time sheets to correct outgoing invoices
  • Communicate with branches regarding time sheet and invoice discrepancies
  • Generate reports weekly to staff and management regarding missing time sheets and track the retrieval of those invoices
  • Communicates with payroll/billing employees to ensure overall accuracy and timeliness of the invoice process
  • Alter any incorrect invoices to make the necessary adjustments

Other Duties:
  • Communicates with customers to verify correct billing information when necessary
  • Create copies of time cards and expense reports and distribute accordingly
  • Sorts and files all time cards to the appropriate location
  • Comply and adhere to all ISO policies and procedures
  • Develop and submit periodic reports to management as requested
  • Responsible for various other administrative duties as directed by Company
  • Senior Invoice Associate may also be responsible to train and mentor other staff
 
Job Requirements

 
Required Skills / Qualifications:
  • Associate degree and relevant experience
  • Proficiency in Microsoft Office, MS Word, and Excel 
  • Must be detail-oriented and have strong analytical skills
  • Must have good organizational skills and oral and written communications skills

Preferred Skills / Qualifications:
  • Prior administrative or payroll/billing experience
