Acara Solutions is seeking a Design Team Admin Support to support our customers aviation production business.
Pay: $25-$27.50/hr 
 
POSITION SUMMARY 

Partners with Design team and other Executive Jets departments to ensure an integrated strategy is executed. Responsible for ensuring that company's design goals and branding strategy are promoted according to division's overall plan. This position also provides direct "administrative' support to Design Department leadership (VP Design, Supervisor Industrial Design, and Supervisor, Customer Design) as needed.


JOB RESPONSIBILITIES  

Responsible for support of Design team and showroom. Can include, but not limited to:

  1. Customer/vendor Tours
  2. Customer experience gifts tracking and development as needed
  3. Showroom update and upkeep
  4. Coordinating vendor visits
  5. Showroom and Design area upkeep in relation to 5S
  6. P3E Agent for cell 651 (Lean Manufacturing Processes)
  7. Support Design with color boards
Responsible for coordinating design related activities (and corresponding logistics). Can include, but not limited to:
  1. Assist in the planning and execution of Design support for shows and events for all Executive Jets divisions. Shows to include but not limited to: EBACE, NBAA, LABACE etc.
  2. Develops and maintains relationships with both internal and external customers to ensure the ongoing successful execution of aircraft specifications.
  3. Support the Executive Jets Sales Team worldwide as needed.
  4. Provide support/input to the procurement department as needed while tracking all Design related purchases.
  5. Supports Design team as the P3E Agent and maintains a clear visibility of where we stand with relation to our value stream goals.
  6. Responsible for travel needs and expense reports for Design Department leadership 
Responsible for supporting systems documentation and procedures that would include, but not limited to:
  1. RFP requirements (support when we are bidding for new external business)
  2. SAP Entry and tracking (Purchase Orders)
  3. KYC (Know Your Customer) process - coordinate for all new and existing customers, and ensure all KYC processes are current
  4. Conduct audits of internal processes to ensure department has complete records to properly and promptly respond to audit requests
  5. Support the issuance and control of Non-Disclosure Agreements (NDA's) for all new airlines and ensure we have current NDA's with existing airlines.
  6. Budget support:  Financial acumen need as individual will audit budget on a monthly basis and report any discrepancies, to supervisor.  Also participate in planning sessions as requested.
  7. Procurement (support Design team as needed)
 
Job Requirements

 
Required Skills / Qualifications:
  • Bachelor's degree Required
  • 3-5 years of experience working in a Business Administrative/Administrator position in a specialized functional discipline i.e. marketing, sales, etc.

Preferred Skills / Qualifications:
    • Demonstrated experience with financial systems related to procurement, budget planning, forecasting, etc.
    • Excellent communication skills, verbal, written and ability to speak to an audience confidently.
    • Extremely detail oriented and highly organized professional is a must
    • Ability to exercise high level of imitative and have a very proactive attitude.
    • Team player able to listen to team's needs, collaborate and deliver on department's needs.
    • Knowledge of Microsoft Office Suite.
    • Demonstrate high personal integrity 
    • Strong problem-solving skills
    • Independent and self-starter critical
    • Ability to multi-task, handle pressure and prioritize.
    • Bilingual a plus.
