Description

Acara Solutions is looking for a Document Administrator for our client located in Orlando, FL

  • 8:30 AM to 5:30 PM
  • Hybrid
  • Compiling, formatting, publishing, and printing technical and commercial documentation for the Proposal Team who prepares all the content for competitive, innovative, high-quality bids for Customers in the Energy Sector including multiple Power Plant configurations.
  • Tasks include working with document management systems during proposal preparation, customer negotiations and handover to the Execution Team after Contract award.
  • Attend Kickoff Meetings and status meetings in support of upcoming bids
  • Direct interface with Bid Manager and team members for structure setup and coordination of proposal documentation
  • Uploading of Request for Quotation Documentation into the Spec Commenting tool
  • Lead the text formatting of proposal documentation and align with company approved templates
  • Perform Quality check of documentation supplied by the proposal team members in terms of text formatting and templates
  • Ensure that the bid team members are utilizing the latest proposal templates and following company guidelines
  • Publishing of completed documentation into final proposal
  • Reproduction (print out and assembly) of Customer Proposals and Contract books
  • Working closely with the negotiation team to set up contract structure and updating contract documents based on customer negotiations
  • Assistance with compiling proposal handover documentation to Execution Team
  • Develop Proposal Quality Trackers after completion of each bid and participate in Quality Tracker meetings with upper management to discuss areas of concern and potential quality improvements
  • Develop teaching aids for use of the Proposal Document Management System
  • Active support in improving the quality of the proposals and the efficiency of the proposal team
  • Maintenance of Bid Management Tools (Document Management System, Proposal Tracker, Submittal Databank)
  • Interface with IT and Digitalization teams for troubleshooting and improvement of the publishing tools
  • Training of bid members in usage of tools and process flow for documentation release

Pay and Benefits:

  • The Salary for this position is $32.00 per hour (Max Pay rate).
 
Job Requirements

 
Required Skills / Qualifications:
  • At least a High School Diploma or GED
  • Minimum of 2 years' experience with SharePoint sites
Preferred Skills / Qualifications:
  • Proficient with Microsoft Word, Excel, Adobe Acrobat and Power Point
  • Organized, detailed and Process oriented. Proficient with typing skills.
  • Ability to function in a fast-paced environment, multi-task, and work as an effective team member.
